Define the moments the business needs to remember: a first inquiry, a promised callback, an unfinished quote, a renewal, or a repeat purchase. A tool should make those moments visible without requiring staff to become database administrators.

Check data export, duplicate handling, permissions, email history, and mobile use. Run a short trial with real but non-sensitive examples. If the team cannot explain the next action on a record, the tool is adding complexity before it adds value.

Respect customer consent and retention. A CRM is part of the trust surface, so security settings and deletion workflows deserve the same care as the sales pipeline.

Define the memory worth keeping

A CRM should make the next responsible action visible. Measure usefulness and trust

More logged activity is not necessarily better service. Review consent, retention, deletion, and access as part of the relationship design. Ask a staff member who did not configure the CRM to find a customer’s next promised action. If they can do it without a private explanation from the buyer, the model is legible. If not, simplify the fields, labels, or ownership before importing more history. Customer memory is useful only when the current team can act on it.
